How to decide which payment option to choose for your next fundraising project
When booking a fundraising project, there are a lot of things to consider. When do we want to run the project? What products do we want to offer parents? How long will the project take? How should we handle parent orders and payments?
Deciding how to best handle parent orders and payments can be stressful and confusing. Some schools like to be in control of the process, knowing exactly what has been ordered and when it has been paid for. Other schools prefer a more hands-off approach and are happy to let someone else handle it.
My Art Project offers two payment options to schools for every fundraising project: Traditional and Online.
Discover more about each option to help you choose the best fit for your school.
Traditional
The traditional payment option is currently the most popular choice with schools.
In this option, schools distribute the order forms, which are on the back of the children’s artwork template, for parents to fill in, which are then returned to the school with the payment (whether that is in cash or via a bank transfer).
The school then banks this money and sends the artwork/ order forms onto the team at My Art Project to process.
Once your order is confirmed, the My Art Project team gets to work fulfilling the orders and delivering the items to the school in a single delivery, ready for distribution.
Once the order has been confirmed (and any queries have been resolved), My Art Project will send your school an invoice for our costs. This payment option has no additional transaction costs, ensuring more money remains in the schools fundraising pot.
The traditional payment option is a great choice for schools who prefer to handle payment in-house and directly with parents, keeping a closer eye on the project's progress.
Online
The online payment option is a more recent addition to My Art Project, but is becoming increasingly popular.
This option allows schools to be completely hands-off regarding the orders and payments. Instead of handling it in-house, parents go online to the My Art Project website to place their orders directly within an online shop window.
Once the order deadline has passed and the online shop has closed, My Art Project will process the school's orders and get to work fulfilling them. Once complete, the products will be delivered to the school in a single delivery.
Once the order has been fully completed, My Art Project team will then deduct the necessary costs and send the school a summary sheet with details of what will be going into their fundraising pot at the end of the project.
This option is a great choice for busy schools who are happy to have an external party handle the admin for their fundraising projects so that they have one less thing to worry about.
