From Drawing to Delivery: The Full Christmas School Fundraising Project Process
We know how incredibly busy teachers, schools, nurseries, and PTAs can be, especially when trying to organise fundraisers during the festive season.
Between all of the school events, as well as keeping everything running smoothly day-to-day, the last thing you need is extra stress, worrying about deadlines or questions for suppliers about your Christmas school fundraiser.
To help make your life a little easier, the My Art Project team has created a clear, step-by-step guide, walking you through the entire My Art Project fundraising project process so that you are fully prepared for your Christmas fundraising project.
Think of it as your stress-free roadmap, full of useful information, tips, and reminders to help keep things on track.
Step One: Book your fundraising project
This may appear obvious, but the process can’t start until you have booked your fundraising project with us.
Our 2025 Christmas Fundraising Project bookings close in October 2025 (subject to availability). To book your project now, click the link here. But hurry, over 75% of our spaces are already booked!
Step Two: Receive your school’s templates
Once you have confirmed your festive fundraising project, the My Art Project team will organise the delivery of your template packs for your pupils to create their artwork on.
The package will also include a pre-paid postage label to send the completed artwork back to the My Art Project team.
Step Three: Create the artwork
Now it's time for the fun bit!
This is the stage where you work with your pupils to create some brilliant and unique artwork, and it is also a great chance to try out some new artistic techniques.
Just remember to stick to our approved list of materials and keep all of the key features of the design within a 5mm border so every bit of your pupils fantastic artwork shows up on the final print.

Step Four: Parents place their orders
Once the artwork is complete, your school will send home information about how parents and families can place their orders. Schools can choose between either a traditional or online method of payment for your project.
Step Five: Send the artwork back to the My Art Project team
Once you have received all of the original artwork back from parents and orders have been placed, schools will then send these back to the My Art Project team using the pre-paid postage label that was included in the template delivery.
Whichever project option the school has chosen, it is important to make sure the original artwork is sent to my Art Project in good condition for scanning. Without the original artwork, we can't create the prints families have ordered, so please make sure it makes its way back to our team!
Step Six: Scanning the artwork and prepping for print
Once the team receives all of your artwork, they will get to work scanning and preparing each product ready for printing.
This is the stage where the team adds those final touches including borders, your pupil's name, and even your school's name or logo.
Step Seven: Printing and packaging
When all of the products files are ready, printing begins!
All of the products are individually packaged and the My Art Project team pays close attention to ensure they're well-protected.
Step Eight: Delivering the final products to your school
After all of the products have been packaged, My Art Project will then dispatch your entire order in a single delivery to your school for free!
It is worth noting that there is no home delivery option available, and any late orders from parents cannot be guaranteed.
Step Nine: Distributing the orders
After your delivery arrives, it's time to distribute the pupils' orders to them and their families in time for Christmas!
All packages will be labelled by class to help make distribution as simple as possible and this is also when parents can easily get in touch if they have any questions or concerns about the products.
Step Ten: Enjoy a job well done
Once the order has been fully confirmed, the My Art Project team will send through a summary sheet with the total amount fundraised by your school and you can enjoy a job well done.
